Open Enrollment Period and Lottery Information

Any application submitted during the Open Enrollment period is eligible for a lottery. When any Great Hearts academy receives more applications than there are seats available, a lottery is held to order a waitlist for each grade in an equitable manner. The lottery assigns a random number to each application, then the applications are ordered on the waitlist based on the lottery number, application type and also priority status. Each Great Hearts academy and grade level runs an independent lottery.

Open Enrollment Steps 

  1. Go to the enrollment Parent Portal to register and log in.
  2. Create parent and student profiles.
  3. Submit an application under MY APPLICATIONS.
  4. You will receive a confirmation email.

Q. My student is currently attending a Great hearts academy, do I need to fill out an open enrollment application?

A.

Open enrollment is for families interested in attending a Great Hearts academy and who are currently not on their interested academy waitlist. Parents/guardians of current students attending an academy DO NOT need to fill out an open enrollment application for their academy since they are already registered; current families will fill out re-enrollment paperwork in March 2018. If a current family is interested in attending another Great Hearts academy and would like to transfer, an open enrollment application will need to be completed to be on that specific academy’s waitlist as well as a transfer form.

Q. Can I fill out and submit an application to more than one academy?

A.

Parents/guardians are welcome to submit an application to multiple academies during the open enrollment period where the student is eligible to attend based on grade offered at the academy.

Q. Can my student receive more than one offer?

A.

Since each academy and grade has independent waitlists, students can receive multiple offers. An offer at one academy has no bearing on an offer at another academy. We do ask you to rank the academies you apply to in terms of preference but this information is used solely for marketing. This preference has zero bearing on your waitlist position or ability to receive an offer.

Q. When will the first-round of offers for 2018-2019 be given?

Offers will be given via email and phone call to parents in starting Wednesday, January 10th, 2018.

Q. When will the waitlist position(s) be released?

A.

The waitlists for each academy and grade will be released by Wednesday, January 10th, 2018. All families on a waitlist will be notified via email to view the waitlist positions(s) on the enrollment Parent Portal.

Q. If my student is on the waitlist, how long until he/she receives an offer of enrollment?

A.

It is not possible for Great Hearts to determine your student’s chances of being offered a position of enrollment. Once the classes are full, any positions that open up are the result of student withdrawals. Although Great Hearts does typically see a number of spots open up before the start of school, there is no guarantee how many seats will become available in each grade level or how many offers will be given to the waitlist to fill those positions.

Q. What happens if I miss the open enrollment period?

A.

If a parent/guardian should miss applying during the open enrollment period, they are still welcome to apply to be on the 2018-2019 waitlist but will be ordered on a first-come first-served basis after open enrollment applications.

Q. Does Great Hearts Academies accept early Kindergarten students?

A.

Great Hearts follows AZ state guidelines (A.R.S. § 15-821(C)) which stipulate that a child must turn 5 years old before September 1st in the year in which they are enrolling for Kindergarten. The Archway academies do adhere to the state guidelines regarding the minimum age for Kindergarten, and exceptions are not made for early Kindergarten enrollment. As a result, Great Hearts does not offer early entrance testing for Kindergarten.

Q. If I have a student who receives an offer and is registered, does my other student automatically get an offer of enrollment?

A.

Great Hearts Academies does offer application priority status for siblings of students currently enrolled at a Great Hearts academy. A student is considered fully enrolled when s/he has accepted an offer of enrollment, and completed and submitted all required registration paperwork. Once a student is enrolled at Great Hearts, any sibling on a waitlist will be moved up the waitlist along with other applications with priority status. Sibling priority does NOT guarantee enrollment, but does significantly improve likelihood of enrollment.
